In a vPlan card, you’ll find many different elements. This article explains each of these elements in detail.

Name and description
The default fields on a card are the title and description. These fields are directly visible in your view. In addition to the title and description, you can create custom fields to store additional information.
Below the title and description, you can also see which board and stage the card is scheduled on.
Date
Each card displays a date, which indicates when the card is planned. If there’s only one date, the card spans a single day. If you have a start and end date, you can select both in the calendar. On the right, you can also add start and end times.
Below the planned date and time, you’ll find the due date, which serves as your deadline. You can receive a notification when this due date is exceeded.
Finally, you’ll see the Recurring option. This allows you to automatically repeat the card in your planning.
When you tap Recurring, a menu appears where you can choose between Never, Daily, Weekly, Monthly, Yearly, or Custom.
Depending on your choice, you can specify whether the card repeats every day, week, month, or year, or after a specific number of days, weeks, months, or years.

Custom fields
In vPlan, besides the title and description, you can add custom fields to your cards for additional information. Custom fields can be configured in the web version of vPlan. Learn more about configuring custom fields here.
In the mobile app, you can easily view and edit them. Tap the pencil icon on the right to modify custom fields.
Status
Each card shows its status, as configured in your settings.
You’ll see the card’s current status. Tap the arrow to move the card to the next status in sequence. If you tap the status name, you’ll see all available statuses, allowing you to quickly select a different one if needed.
Subcards
Below the card’s status, you’ll find subcards. Subcards help you break down a task into smaller steps or subtasks, making it easier to manage progress.
You can easily add new subcards or open existing ones. If subcards already exist, you can adjust key details (like date or assigned resources) directly from the main card. To open and edit a subcard in detail, simply tap its name.
Activities
Cards can contain activities, representing the specific tasks to be completed, each with an estimated duration.
Within the card, you can see the activity name, estimated time, and a progress bar showing how much time has already been tracked. To start tracking time for an activity, tap the blue Play button. The progress bar gradually turns blue as more time is logged, so you can visually monitor progress.
Checklists
Under Checklists, you can add checklists to your card. You can either choose a predefined checklist (set up in your configuration) or create a new one specifically for this card.
Using a predefined checklist
If predefined checklists exist in your vPlan configuration, simply select one from the list to use it in your card.
Tip
If your administrator has allowed checklist editing, you can add new items by tapping Add item.
Create checklist in a card
In addition to the standard checklists, you’ll see an option at the bottom called Create new checklist. This allows you to manually add a new checklist to the card. Give your checklist a name, then tap the field below to add checklist items. You can add as many items as you like. In the top-right corner, you’ll see three dots. This is the checklist menu, which is explained below.
Checklist menu options
In the top-right corner of the checklist, you’ll find three dots. This menu contains the following options:
Delete
Remove the checklist from your card.
Edit
Allows you to modify the checklist. Add, edit, or delete items, or change the checklist title.
Hide checked
Hides all completed (checked) items in the checklist.
Uncheck all
Unchecks all items in the checklist at once.
Check all
Marks all items in the checklist as completed at once.
Labels
Under Labels, you can add or remove labels on your card.
Resources
By tapping Resources, you can assign the card to one or more users or resources.
Attachments
Just like in the web version, you can add attachments in the app. Attachments added here are immediately visible on the web.
Tap Add attachment to take a photo with your camera, or choose an image or file from your gallery or file manager.
Integration
Each card also contains integration information, showing details synced from the connected system, such as order type, references, delivery date, customer, and order lines.
This information gives you immediate context without switching back to the source system, so you can quickly see which order and data the card relates to.
Events
Under events, you can view all actions taken on the card, such as status changes, date edits, or new comments.
It serves as a complete log of everything that has happened to the card.
In the mobile app, this helps you keep track of who changed what and when.
Comments
You can post comments directly in a card. This makes it easy to collaborate with your team or add extra context to a card. Each comment shows who posted it and when.
You can only delete your own comments.
Action menu
In the top-right corner of a card, you’ll find three dots. This opens the action menu, which includes several options, explained below.
Follow
In vPlan, you can follow a card as a user. When you follow a card, you’ll receive additional notifications related to it. For example, when someone changes the card’s planned date or updates its status. You can learn more about notifications and how to manage them in the article: Notifications.
The first option in the action menu allows you to follow a card, but you can also do this in another way. Inside the card, just below the three-dot menu, you’ll see a star icon. When you tap this star, you’ll register yourself as a follower of the card.
From that moment, you’ll receive extra notifications about this card, as described in the article mentioned above.
Once you’re following a card, your vPlan avatar will appear next to the follow button.
If you want to stop following, simply tap the button again. You’ll also see other followers of the card displayed in the same spot.
Tip
Want to automatically follow all cards? You can set up an automation that assigns you as a follower by default whenever a new collection of cards is created. Learn more in: Automatically add a follower.
Lock
As an administrator, manager, or organiser, you can lock cards in vPlan.
Locking a card ensures that other users can no longer modify it and that the planned date remains fixed. However, this doesn’t apply to every field within the card. Some data can still be edited by other users.

Labels
A locked card can be unlocked either by the user who originally locked it or through an automation rule. Once a card is locked, the action menu disappears and is replaced by a lock icon. You’ll also notice that many fields within the card can no longer be clicked. On the planning board, a lock symbol appears on the card, clearly indicating that it’s locked. It’s also no longer possible to drag cards on the board.
To unlock a card, the user who locked it must open the card and click the lock icon in the top-right corner again. All previously locked actions within the card will then become available to other users.
Duplicate
This option allows you to duplicate a card. All information from the original card is copied into the new one. When you duplicate a card, a new card is created within the same collection.
Delete
This option allows you to delete the card you currently have open.
Note
This action cannot be undone and must always be confirmed before proceeding.
Move to Backlog
This option allows you to move the entire collection back to the backlog. From there, you can reschedule the collection whenever needed.
Choose cover
For each collection, you can set a cover color in the app. This helps you make cards stand out more clearly on your planning board.
When you tap Choose cover, you’ll be able to select a color. Once chosen, the color appears as a bar at the top of the card, and it’s also visible on the board, making it easy to distinguish that collection from others.
Share link
Every card in vPlan has a unique link that can be shared with other vPlan users. This allows you to quickly refer to a specific card. When you select Share link, a link to the card is automatically copied to your clipboard. You can then paste it directly into an email or a message (for example, in WhatsApp) to share it with a colleague or another vPlan user.
When the recipient clicks the link, they’ll be directed to vPlan. If they’re not logged in, they’ll be prompted to log in first; if they are, they’ll immediately see the shared card.
You can choose to open the card directly in the current view, or navigate to your board to see where the card is planned.
If you choose Show on board, keep in mind that vPlan will automatically apply a search filter in your board and adjust the visible planning period to match the card’s start and end dates. To return to the full planning view, simply clear the search and reset the planning period.
