In your planboard settings, you will find five tabs. This article explains all the options on the first tab, Settings.

Settings

Under the settings heading, you can turn on two options, split cards by activity and having your own backlog per planboard.

Split cards by activity

This feature is only of added value if you use activities on a card. When you enable the option 'Split tickets per activity' and you plan a card in the planboard with multiple activities (e.g. blasting and grinding), a separate card is created in the stage for each activity. You can then plan these separately from each other.

If you do not enable the 'Split cards per activity' option, then you plan one card containing both activities.

Own backlog

This option allows you to create your own backlog for this planboard. When you create cards in the planboard, they will not be shown in the backlog of other planboards. This allows you to simply separate your work in progress per planboard.

Capacity

In the settings of your plan board you can set whether you want to use capacity.

No capacity

Don't work with capacity? Then select No capacity. This will hide all functions related to capacity on the plan board.

Resource capacity

With the resource of capacity, you plan per resource. So per employee, machine or cell. Here you get insight into the available hours per resource.

Workdays

Here you can change the workdays of your company. The checked days are by default available for planning in the planboard. For certain actions, such as splitting tickets, only available days are taken into account.

You can set a specific date to unavailable in the planboard, for example holidays. Choose here which view you are working in to read how to make a specific day unavailable in the board. Through the preferences you can decide whether you want to show or hide unavailable days in the planboard.

Labels

Within vPlan it is possible to assign labels to your cards. For example, you can give high priority orders a red label, so that it is clear to your entire company that this order has priority.

You can easily create labels by clicking the green Add label button. In te following screen, you can choose the color for your label and give it a name. When you have given your label a name and color, click Close. Your label is now saved and ready to use!

Dependencies

In the timeline view of vPlan, you can establish relationships or 'Dependencies' between mutual plan cards within or outside of an existing collection.

When you establish a relationship between two cards, you can indicate that two cards in your planning are dependent on each other. If in your process a certain task should not start until the other (previous) task is completed, vPlan can help you with this. Do you only want a visual alert from vPlan? Or do you want vPlan to keep the order of the dependent cards and thus move them around in the planning? You can see these three options in the settings.

Notify

When the end of card A is before the start of card B, there will be a red line around the card. This notifies you that this probably causes a problem. Placing card B after card A (or card A before card B) makes the notification disappear. So you can fix this manually.

Push

When the end of card A is before the start of card B, there is nothing wrong. But the moment the end of card A comes on the same day as the start of card B, we push card B aside. In this way, card B always remains behind card A. We only push and do not pull, so when card A is pulled forward, card B stays put.

Retained

With this setting we keep the period between card A and card B when laying a dependency. The moment you move card A in the planning, then card B will automatically move with it while retaining intervening days.

Custom fields

Within vPlan, in addition to the title and description, you can add additional information to your plan cards. For example, would you like to add a batch number, selection menu or phone number to your tickets? Then you can create these here.

So you set up additional fields, which you can use later in your planning for recording information. These fields are available in the web version of vPlan, as well as the mobile app vPlan Go.

To add a custom field, click the green Add field button. Next, you need to fill in three options:

Name

Give the custom field a name. For example: 'Delivery address' for an address field, 'Batch number' for a numeric field or 'Signature client' for a drawing field. The choice is yours.

Collection or card

This option lets you choose the level at which the field is available. Fields available to you at the collection level are shown on all cards associated with the collection.

If you have planned a collection that consists of multiple plan cards, you can make sure that the custom field in which you fill the customer name will be visible on all cards. But if you want to be able to separately register the quantities delivered per plan card, then you create a field on the level card.

Type

The field type indicates how the custom field behaves. A field of type ''address'' can be used to navigate, and a field of type ''numeric'' can be used in vPlan to make calculations.

Below is an explanation of each type of field:

  • Text

This field type allows you to enter a short text. Think of the name of a contact person, or a batch number that also contains letters.

  • Number

This field type allows you to enter numeric values, with or without decimals. You can also specify a unit, such as m2, km, liters, etc. In addition, you can choose whether to align the unit to the left or right.

  • Date

By default, vPlan already has plan dates and due dates. With this type of field you can define an additional date, for example the date for receipt of goods.

  • Address

This type of field allows you to capture addresses and locations in your plan cards. The field is linked to Google Maps and thus will be able to show the location in the map of vPlan. This field is also used to calculate routes and travel times (see also: Google Maps & route optimization).

  • Checkbox

This type of field is a checkbox in which you can tick something. For example, 'Quality check performed', which you can then check off.

  • Options

If you want to include a fixed drop-down list in vPlan, you can create a drop-down menu. For example, for delivery type.

  • Textarea

As with the previously mentioned text field, textarea type fields allow you to type freely in letters and numbers. However, the textarea field is larger in size and thus ideal for comments or information about your plan card.

  • E-mail

In this field you can enter e-mail addresses. Then you can click on an e-mail address and your mail program will open immediately.

  • Phone

In this field you can enter phone numbers. The field recognizes a phone number and will be able to open a calling application when you click on it. Especially useful in vPlan Go, our mobile app.

  • Link

Web addresses, or references to documents in the cloud can be put in the link field. When the field is filled with a link you can then click on it and you will be redirected directly to the address in your internet browser.

  • Drawing

With the drawings field you add a block to your card in which you can make simple sketches and drawings. It can also be used as a signature field for delivering goods, for example.

To change or delete a custom field, click on an existing field. Here you can modify the data. Click on delete to remove the field. Should you have already used the field in cards, these will remain.

Checklists

In your planning board you can add standard, reusable checklists. These checklists can be used in your vPlan plan cards. When you click the green Add checklist button, a new window opens where you set up your checklist.

  1. Give your checklist a name.

  2. Using the Editable checkbox, set whether users are allowed to add to or change the checklist while using it in planning. If you do not check the option, then the checklist is not editable in planning.

  3. Next, add checklist items. These will become check-off items in your checklist. Give your item a name and press Enter (or the green arrow) to add the next one.

  4. When you're done, click Close. Don't forget to save your planboard afterwards!

Manage access

With this feature, you control which users you want to give access to a board. When you create a board, it defaults to Everyone. This means that all users with access to your vPlan environment, also have access to this board. You can also choose to restrict access in a board.

If you choose Restricted, users with the administrator role will always have access. With Add user you can determine which users should have access to the board. Tick the users who should be allowed access to this board. Click close to confirm. Save the board to confirm the changes.

If you have chosen Restricted you will see which users have access. Go to the avatar and click the cross to deny this user access to the board.

Mailing to the planning board

In vPlan, it is possible to send an e-mail to your backlog. For example, you can load order flows that come in via email directly into vPlan as plannable cards. It can also come in handy when you're on the road, and want to quickly email a customer's order to the planning.

By clicking the Generate email address button, vPlan automatically generates an email address you can email to. You can copy the email address by clicking the Copy to clipboard button. This allows you to save the email address to your email address book in advance.

To allow emailing to the backlog of your plan board, you must at least have the option Create a card in the backlog when receiving an email enabled. To prevent spam in your plan board, you can choose a domain ([email protected]) that only allows cards in your backlog using the email address.

Tip

You can set rules in your own email client that, for example, automatically redirect all emails sent to [email protected] to the email address of your vPlan planboard. That way you don't have to manually forward all requests to vPlan yourself.
