vPlan app views

In the vPlan app, you can view your planning in different ways, just like in the web version. By default, you’ll see the views you previously set up on your computer, but you can also easily switch to another view directly in the app.

A view determines how the information from your board is displayed. For example, you can see a list of tasks per day, a visual timeline, or an agenda overview. Depending on what you need, you can choose the view that gives you the most clarity.

In this article, all available views are explained:

Card overview

In the Cards view, you’ll see a full list of all the cards from your board that you can scroll through.

Creating a new card
Tap the plus icon in the top-right corner to create a new card. Choose the board and stage, then add a title, description, and date. Tap Add in the top-right corner to save it to your planning.

Filtering
At the top, you’ll find the filter option. You can filter by status, resource, and more. You can also decide how to sort cards. For example, from oldest to newest or vice versa. At the bottom of the filter menu, you can choose whether to include completed cards, subcards, and recurring cards.

Day overview

The Day overview is similar to the Cards view described above, but it gives you a weekly overview, showing which cards are planned per day.
If a grey dot appears under a date, it means cards are planned that day. A blue dot indicates there are cards planned with an active status.

Creating a new card
Tap the plus icon in the top-right corner to create a new card. Choose the board and stage, then add a title, description, and date. Tap Add to save it to your planning.

Filtering
At the top, you’ll find the filter option. You can filter by status, resource, and more. You can also decide how to sort cards. For example, from oldest to newest or vice versa. At the bottom of the filter menu, you can choose whether to include completed cards, subcards, and recurring cards.

List

The List view shows your planning in a clear table format with rows and columns.
At the top-left, tap the filter (funnel) icon. You can filter by:

  • Stages

  • Statuses

  • Groups

  • Resources

  • Labels

You can also select the time period and whether to include parent cards, subcards, or recurring cards.

Once you’ve filtered your desired planning data, you can decide what card information to display. Cards appear in rows, while columns show their details. You can add as many columns as you want, custom fields, date fields, order info, checklists, and more.

With the Preferences button in the top-right corner, you can fully customize the list view to your liking. You can choose the dimension (stage, resource, status, or collection), decide which columns are visible, and set their order.

You can also define the sorting here. This depends on which columns are enabled. Each column can be sorted in both directions.

Creating a new card
At the bottom of the list, tap + Create new card. A pop-up will appear where you can choose the stage, enter a name and description, assign a resource, add an activity, and set a date. Tap Add when finished.

Kanban

With the Kanban view in the app, you can see the status of your work anytime and anywhere, what needs to be done first and where any bottlenecks are in the process. Each status is shown as a column, with the number of cards in that status displayed at the top. On your phone, you can zoom in and out. When zoomed in, you’ll see one column at a time and can swipe to view other statuses. When zoomed out, all statuses are shown side by side, allowing you to drag cards from one status to another. On a tablet, you’ll always see the zoomed-out overview.

Creating a new card
It's possible to directly add a new card in the columns. Tap the plus in the top-right of a column. Enter the stage, name, description, and date, then tap Add.

Move cards to another status (column)

If you want to move a card to a different status column, simply press and hold the card, then drag it to the desired column. Once you release it, the status will automatically update.

Filtering

With the filter, you can decide which cards are shown in your Kanban view. For example, do you only want to see cards assigned to you, or hide completed cards? You can set this by tapping the filter icon in the top-left corner of the Kanban view.

Timeline

The Timeline in the vPlan app gives you a clear overview of all your planned cards over a longer period of time. Whether you want to view a daily planning or get insight into the upcoming weeks or months, the Timeline lets you see at a glance how your work is distributed over time.

View

The Timeline is grouped into dimensions, allowing you to view your planning in different ways. In Preferences, you can choose how you want to group it, by stage, group, status, resource, or collection.

Within each selected dimension, the cards are sorted chronologically by date (from oldest to newest). Cards are displayed as bars on the timeline, so you can instantly see the start and end dates. Each bar shows the card name and assigned resource(s).

You can set the color of the bars in the Preferences. Choose colors based on status, label, or cover.

Columns

Using vPlan on a tablet? Then, just like in the web version, you’ll see columns with key information from your cards, such as date, stage, status, or assigned resources.

Note

On phones, the screen is too narrow to display columns. For the best Timeline experience, use a tablet.

Filtering

In the Timeline, you can use filters to make your overview more specific. To open the filter, tap the funnel icon at the top of the screen.

You can filter by:

  • Stages

  • Statuses

  • Resources (including unassigned)

  • Period

  • Labels

  • Show main cards

  • Show subcards

  • Show recurring cards

By combining filters, you can easily zoom in on the cards that are most relevant to you.

Preferences

In the Preferences menu, you can adjust how the Timeline is organized, how far you want to zoom in, and how cards are displayed.

For example, you can choose to group the Timeline by stage, resource, status, group, or collection.

You can also adjust the zoom level (from hourly to yearly view) and define how the color of the bars is displayed, based on a label, status, or cover.

Finally, this menu lets you show or hide certain information, such as capacity, gridlines, dependencies, and warnings.

These settings allow you to easily tailor the Timeline to your preferred way of working and the level of detail you need.

Search

Use the search bar at the top to quickly find a specific card. When you select a card, the Timeline automatically scrolls to the correct position, so you can immediately see the right part of your planning. If your search returns multiple results, you can use the arrows to navigate through them.

Today

Scrolled far through your planning? As soon as you’re no longer viewing the current day, a blue button will appear on the screen.
Tap this button to instantly jump back to today in your Timeline.

Capacity

In the Timeline, you can view capacity per resource or stage (depending on your selected dimension). Available capacity is shown as a light grey area over active days. Once cards are planned, a filled purple area indicates how much capacity has been used.

If the planned amount exceeds the available capacity, a red peak appears above the area, showing that you’ve planned beyond your capacity. When you see an overload, you can resolve it by moving a card to a free day, adjusting its duration (end date), or assigning an additional resource.

Agenda

With the Agenda view in the app, you can clearly see all your planned tasks by time. This helps you know exactly when something is planned and where you still have availability.




Each card has a specific color, which is determined by its status.
At the top, you’ll see a row labeled 'All day'. This is where all cards without a start or end time appear. As you scroll through your planning, these cards remain visible.

Planning a card

To plan a new card, press and hold an empty slot in the agenda for a few seconds until a purple block appears. When you release, a screen opens where you can enter the card’s initial details.
Here you choose the board, stage, title, description, date, and start and end times. Tap Add, and the card will appear in your agenda. Once it’s in your planning, double-tap the card to open it and add more details.


Extending or shortening a card

Tap a card to select it. The color of the selected card becomes slightly darker, and you’ll see a dot at the top and bottom. You can use these dots to adjust the card’s duration. Drag the dots to make the block longer or shorter.

Moving a card

Press and hold the card you want to move. You can then drag it to another day or time. A shadow will appear behind the card, showing where it will be placed.
For example, below you can see that Order 10923 has been picked up and moved to Saturday at 10 a.m.

Navigation

Swipe left or right to move to the next or previous week. Tap Today in the top-right corner to return to the current week.

Filtering

You can also use filters in this view. Want to see only the cards assigned to a specific resource? Or only those with a certain status? Tap the filter (funnel) icon in the top-left corner to open the filter menu.


Capacity

An important feature within vPlan is the Capacity.

Open the board for which you want to view capacity and add a new view: Capacity. You’ll then see a monthly overview, where different colors help you quickly identify which days still have available capacity and which are fully booked. The colors range from light gray for plenty of available capacity, to light purple for limited capacity, and finally dark purple for no available capacity.

The green arrows in the calendar indicate which week’s details are shown below.

The overview displays the total daily capacity of all employees. To view capacity per stage or per resource, you can use the filter in the top-right corner.

If your board uses both machines and employees as resources, you’ll also see the option resource type in the filter. This allows you to choose whether you want to view the capacity of your employees or your machines.

In the filter menu, you can select one or more stages and/or resources from your board. This allows you to see exactly how many hours are still available for that specific department or person.

Tip

If you tap on a specific day, the planning for that day will open, showing all planned cards. This makes it easy to open a card and move it if the day is already fully booked.

Backlog

The Backlog in the vPlan app gives you an overview of all tasks that haven’t been planned yet. From the Backlog, you can quickly view, create, or plan new cards.

Creating a card
Tap the plus icon in the top-right corner to quickly create a new card. Give the card a name, and optionally add a description and due date. Tap Add, and the card will appear in the Backlog. From there, you can complete it with the necessary details and plan it when ready.

Editing and planning a card
Open a card to view its details. Just like in the web version, you can fill in all the necessary information, add a due date, complete custom fields, and include activities, checklists, labels, and attachments. At the top of the card, you’ll find the Plan button, which lets you choose from a few default dates or set a custom date.
