Would you or your team like to be proactively alerted to approaching deadlines or due dates that are not being met? In addition to the standard notifications, you can configure your own notifications in the automation center. There are several options available that can trigger a notification.

There are many variants of these notification automations. They work pretty much the same in the basics, but decide carefully what you want to notify on, and who you want to notify.
1. What do you want to be notified on? The due date of your cards, or the planned date of your cards?
2. Who do you want to be notified? All followers of a card? A specific user, or the linked user (that's the user who is also assigned as a resource to the card).

If you know who you want to notify, and on what type of date then you can pick the automation and fill in other conditions, such as at what status to be notified, or whether you want to be notified in advance or afterwards.
All set conditions together ensure that you have set up your own customized notification.

Approaching or exceeded due date

Would you like to be notified of an approaching or exceeded due date? We have the following automations for that:

  • When collection is planned/not planned and due date is number of days/workdays before/after today, notify all followers of the collection

  • When collection is planned/not planned and due date is number of days/workdays before/after today, notify user something

The difference between these automations is that the first one notifies all followers of the collection, and with the second automation you choose a specific user to be notified. The configurable conditions under which this automation is activated are planned or not planned and the number of (work)days before or after today. First you choose whether the automation applies to planned or unplanned cards (cards that are still in the backlog). Both options are also possible. Then you choose when you want to be notified, the number of (work)days the due date is before or after today.

Approaching or exceeded plan date

When the start date of a planned card is approaching, or the due date has passed and the card is not yet completed? There are several situations where you may want to be alerted.
With the automations below, you have the flexibility to determine it yourself.

  • When the start/end of a card in stage something is number of days/workdays before/after today and the status is something, notify all followers of the card

  • When the start/end of a card in stage something is number of days/workdays before/after today and the status is something, notify user something

  • When the start/end of a card in stage something is number of days/workdays before/after today and the status is something, notify linked user

  • When the start/end of a card is number of days/workdays before/after today and the status is something, notify all followers of card

  • When the start/end of a card is number of days/workdays before/after today and the status is something, notify user something

  • When the start/end of a card is number of days/workdays before/after today and the status is something, notify linked user

These automations have the same operation. With the top three, the automation is triggered only when a card is in a specific stage. In addition, the difference between the automations is who is notified.

The adjustable conditions on which this automation is triggered are start or end date, stage, number of (work)days before or after today, status and user. First choose whether to send a notification based on the start or end date of a card. This condition is only relevant when the start and end date are different in a card. If this is not the case you can choose one of the two options. Then you choose one or more stages where the automation should apply. Then you choose by the number of (work)days before or after the start or end date when you want to be notified. Set at which status you want to be notified, and lastly, determine which users should receive the notification.

Status change

With these automations, you can ensure that followers, a specific user, or the linked user will be notified when the status of a card changes.

  • When status of a card in stage something changes to something, notify all followers of card

  • When status of a card in stage something changes to something, notify user something

  • When status of a card in stage something changes to something, notify linked user

The conditions you set here are stage, status and user. First you set which stage the automation should work in. Then you choose at which status you want to receive a notification, and finally you choose who should be notified.

Custom field

In addition to the due date and planned date, you can add an additional date field in the custom fields. With this automation you ensure that a notification is sent, when the date from the custom field approaches or is exceeded.

  • When custom field something is number of days/workdays before/after today, notify all followers of the collection

  • When custom field something is number of days/workdays before/after today, notify user something

The conditions you set are the custom field, the number of (work)days before or after today, and the user. First you choose when you want to be notified, the number of (working) days that the date of the extra field is before or after today. Last, you set which user should receive a notification.

Label

With these automations you make sure that the followers of a card, a specific user, or the linked user receives a notification when a label is added to a card.

  • When label something is added to a card, notify all followers of card

  • When label something is added to a card, notify user something

  • When label something is added to a card, notify linked user

The conditions you set here are label and user. First you choose at which label you want to receive a notification, and last you choose who should be notified.
