Because your boards are full of a lot of information, filters can help you see only the information you want to see at that moment. Personal views allow you to save different views multiple times with different filters and preferences, and you don't have to keep changing them!
Personalized views
When creating a new planboard, you have the choice of setting up a planboard yourself, or creating a planboard based on a sample process. When creating a new planboard without a template, you will enter an empty environment. You will first have to choose a view. Here you can choose from list, calendar, kanban and timeline and analytics. You can choose all views multiple times.
If you choose to create a planboard based on a sample process, a view that best fits that process is automatically added. You can, of course, add multiple views, as explained below.
Adding a view
Click the plus sign next to the title of your planboard to add a view. When you choose a view you will get a pop-up screen where you can name the new view.
You can now set any filters and preferences you would like to see reflected in this view.
Managing views
There should always be at least one view selected. If you have only one, it is not possible to delete it. You can change the view name or delete the view by selecting the desired view and then hovering your mouse over the name. A pencil will then appear behind it, allowing you to modify this view. You can also change the order of the views. You do this by dragging the name of the view to the right place. Should you reach the number that it no longer fits on the screen, you will see a purple arrow with which you can scroll through the different views.
Note
The views are set per user and thus will not be saved for the other users.
Sharing views
The views you have set up can be easily shared with your colleagues. This way, you can ensure that your entire team is always working from the same view, or you can set a standard view for your colleagues.
To share the view, first set up all the filters and columns so you see what is important. Hover your mouse over the view name, and click the pencil icon to change the view:
You now get a pop-up where you first see two tabs: General and Access. When you change access from private to sharing with other users, a third tab, Protect, appears.
Access
In the first tab, you can choose whether you want to use the view privately, or share it with other users.
Private
This ensures that the view is only available to you. Other users cannot add this view to their own accounts.
Everyone
With this option you give all users within the same vPlan environment access to this view.
Planners
With this option you share the view with all users within your vPlan environment, who have the role planner.
Workers
Do you want only users with the role employee to see the view? Then choose this option.
Guest
Choose guest if you want to share the view only with users who have the guest role.
Note
Users with the guest role cannot create views themselves. They can only choose from views shared with them.
Specific users
If you want to share views with specific users, choose the specific users here. A dropdown menu will then appear, where you can choose the users. You can select as many users as you want here.
Secure
Once you have chosen to share your view with other users, you will see a third tab in the menu. Here you will see the following options:
Edit permissions
This sets which data can be modified by users with whom you share the view. Here you can choose from filters, preferences and columns. Check which data other users are allowed to modify.
Protect original
Enabling this option protects the original view. This ensures that if other users make changes in the shared view, these changes are not saved in the original view.
If you want your whole team to work together in one view, you can turn this option off. All customizations made by all users will then be saved in the view.
Note
Adjustments made in the original view will always be saved to the shared view.
Set default
This option ensures that the view is set as default for the user with whom you share the view. If you turn this option off, the users with whom you have shared the view will be able to choose it from all the shared views, but it will not be set by default. If you choose to turn it on, you can also choose which user(s) you want to set it to by default. When you turn on the switch, a dropdown menu appears, allowing you to choose from all users or one or more specific users. This works in conjunction with the previous Access menu. If in Access you chose that the view be shared with only planners, then if you choose specific users here you can also choose only users with the role planner.
Shared views
All views shared with you can be found in one place. Click on the plus sign next to the title of your plan board. Here you will see two options, create a new view, or choose from one of the shared views.
