In this article, you'll read about all the ways to automatically assign someone to a card. You can assign resources automatically based on an activity, a status change, an approaching or exceeded planned date, by adding a label, or by starting or stopping time reporting.

Add activity

With this automation, you can ensure that a resource, that is, an employee, machine or cell, is automatically assigned to a card when an activity is added.

  • When activity something is added to a card, assign someone to the card

The conditions you set are activity and the resource. First you set which activity you want a resource to be assigned to and then you choose which resource to be added after the activity is added.

Status change

With this automation you can ensure that a resource, i.e. an employee, machine or cell, is automatically assigned to a card when a status changes. We have two variants:

  • When status of a card changes to something, assign someone to card

In this automation, you can set which resource is assigned, when a card has a certain status. So you set at which status a resource should be assigned, and then which resource should be assigned.

  • When the status of a card in stage something changes to something, assign linked resource from current user to card

In the above automation, the user who changes the status of a card in a particular stage is assigned to the card. The conditions you set are stage and status.

Approaching or exceeded plan date

With this automation you can ensure that a resource is automatically assigned when a card is planned a certain number of days before or after today.

  • When the start/end of a card in stage something is number of days/workdays before/after today and the status is something, assign someone to the card

  • When the start/end of a card is number of days/workdays before/after today and the status is something, assign someone to card

The conditions you set are the start/end date, number of (work)days before or after today, status and label. First, you choose whether to trigger this automation based on the planned start or end date of a card. For the first automation, you choose at what specific stage the automation should be triggered. Then you choose when you want the resource to be assigned, the number of (work)days that the planned date is before or after today. You also set the status at which the automation should be triggered, and which resource will then be assigned.

Add label

In vPlan, labels are one of the most commonly used features for recognition in your planning. Adding labels also allows you to trigger automations and processes, including assigning a resource.

  • When label something is added to a card, assign someone to the card

The conditions to be set are label, and resource. Choose which label to assign the resource to. Then choose which resource the automation should assign.

Time reporting starts or stops

With this automation you set that when a timer is started or stopped on a card in a certain stage, a resource is automatically assigned.

  • When time reporting starts/stops in stage something, assign someone to the card

The conditions to be set are whether the timer starts or stops, the stage and the resource.
