Automatically add checklists

In vPlan, you can create checklists in cards, or set them as defaults in your setting to be added to a card afterwards as soon as you need the checklist.
Because checklists often need to be finished at a certain step in your planning, it's convenient to have vPlan automatically process the addition of checklists. This ensures that important checklist steps are never forgotten, and it saves the planner unnecessary manual work. This article highlights all the automations for adding a checklist.

When adding an activity

You can set this automation when you want a particular checklist to be added when a particular activity is added in a card. For example, the checklist 'Checklist' for the activity 'Packing and shipping'.
This automation also works when the activity is already added in the backlog, and you are going to plan the card.

The conditions to be set are activity and checklist. First choose which activity to add a checklist to, and then which checklist it should be.

At a status change

With statuses in vPlan, you keep track of the progress of your work. You can work with simple 'Open', 'In progress' and 'Done' statuses, but you can also add various steps here, depending on your process. Based on a card status change, you can also have checklists added automatically. You do this with the automation below:

  • When status of a card in stage something changes to something, add checklist something

  • When status of a card with label something in stage something changes to something, add checklist something

The conditions and actions to set are stage, status and checklist. With the second automation, a label is also added. Choose in which stage the status change should occur to automatically add the checklist. Then choose the status where the checklist should be added, if a card gets this status, and lastly choose the desired checklist to be added.

Approaching or exceeded plan date

With this automation, you can ensure that a checklist is automatically added the moment your planned card is several days in the past or in the future. You can vary this automation in two ways. Either you have the checklist added based on a specific date in a specific stage, or you can have a checklist added regardless of what stage the card is in.

  • When the start/end of a card in stage something is number of days/workdays before/after today and the status is something, add checklist something

  • When the start/end of a card is number of days/workdays before/after today and the status is something, add checklist something.

The conditions you set are the start/end date, stage, number of (work)days before or after today, status and checklist. First, you choose whether you want to trigger this automation based on a card's planned start or end date. Then, for the first automation, you choose in which specific stage you want this automation to occur. Then you choose when you want the checklist to be added, the number of (work)days that the planned date is before or after today. You also set at which status the automation should be triggered, and which checklist should be added.

Creation of a collection

If you want every new collection you create in the backlog or planboard to have a checklist added by default, this is the ideal automation. So this automation always adds a checklist regardless of the situation or conditions. All you have to do is create a new collection.

  • When collection is created, add checklist something

With this automation, you only choose which checklist to add, when a new collection is created.

Creating a card

If you are working with different stages on your planboard and you want a checklist to be automatically added in the card of one of those stages, you can use this automation.
This automation works when you manually create a card in a stage yourself, as well as when you plan from your backlog and a card is automatically created in that stage.

  • When card is created on stage something, add checklist something

The conditions and actions to set are stage and checklist. Set on which stage the checklist is automatically added (when you plan or create a card on that stage), and set which checklist should be added automatically.

When adding a label

In vPlan, labels are one of the most commonly used functionalities for recognition in your planning. Adding labels also allows you to initiate automations and processes, so checklists as well.

  • When label something is added to a card, add checklist something

  • When label something is added to a card in stage something, add checklist something

Add label-based checklists can be varied in two ways. Either you have the checklist added when a label is added in a specific stage, or you can have a checklist added regardless of which stage a label is added in.
The conditions and actions to set are label, stage and checklist. Choose at which label the checklist should be added. Next you choose in which stage the label should be added to perform the automation. Last, you choose which checklist the automation should be added to.

When time reporting starts or stops

With this automation you set that when a timer is started or stopped on a card in a certain stage, a checklist is automatically added.

  • When time reporting starts/stops in stage something, add checklist something

The conditions to be set are whether the timer starts or stops, the stage and the checklist.

When adding a resource

With this automation you ensure that a checklist is added when a card is assigned to a specific person.

  • When resource something is added to a card, add checklist something

The parameters you set are resource and activity. Under resource you choose which resource the checklist should be added to, and under checklist you choose which checklist should be automatically added as soon as the card is assigned to that particular resource.
