In this article, you will read about all the options for automatically adding a label to a card or to an entire collection. You can have labels added automatically based on an activity, a status change, an approaching due date or planned date, by an approaching date from the custom field, by adding a label, or by starting or stopping time reporting.

When activity is added

This automation allows you to ensure that a label is automatically added when an activity is added.

  • When activity something is added to collection, add/remove label something in collection

With this automation, a label is added to the entire collection when an activity is added to the collection. The conditions you set are activity, add or remove and label. First, you set which activity you want a label to be added to. Then you choose whether to add or remove the label, and lastly you choose which label it is.

Note

This automation only works when creating a collection, which happens in the backlog. Read more about the difference between a collection and a card here.

  • When activity something is added to a card, add label something to card

With this automation, when an activity is added to a card, a label is added to the card. The conditions you set are activity and label. First you set which activity you want a label to be added to and then you choose which label to be added after the activity is added.

Status change

With this automation, you can ensure that a label is automatically added when someone in vPlan changes the status of a card.

  • When status of card in stage something changes to something, add label something to the card

The parameters you set are stage, status and label. First, you choose in which stage of your planboard the status change should take place (can be in multiple, or in all stages). Then you set at which status you want a label to be added. Last, you choose which label you want to be added automatically after the status change.

Approaching due date

With this automation you can ensure that a label is automatically added when the due date of a collection approaches.

  • When the due date of a collection expires within number of workdays, add/remove label something in collection

The conditions you set with this automation are the number of days, label, and whether you want to add or remove it. First, you choose how many days before the expiration date you want a label added or removed. Then you choose whether the label should be added within the collection, or removed. At the last step you choose which label you want to have added or removed.

Approaching or exceeded planned date

With this automation, you can ensure that a label is automatically added when a card is planned a certain number of days before or after today.

  • When the start/end of a card is number of days/workdays before/after today and the status is something, add label something to the card

The conditions you set are the start/end date, number of (work)days before or after today, status and label. First, you choose whether you want to trigger this automation based on a card's planned start or end date. Then you choose when you want the label to be added, the number of (work)days that the planned date is before or after today. You also set which status the automation should be triggered at, and which label should be added.

Custom field

In addition to the due date and planned date, you can add an extra date field in the custom fields. With this automation you make sure that a label is added, when this date is approaching or exceeded.

  • When custom field something is number of days/workdays before/after today, add label something to the card

The conditions you set are the custom field, the number of (work)days before or after today, and the label. First you choose when you want the label to be added, the number of (work)days that the date of the custom field is before or after today. Last, you set which label should be added.

When adding another label

This automation allows you to ensure that a label you add to one ticket is automatically added to all related tickets. This automation is very useful when you always use a particular label for an entire order, and not specifically one of the tickets from an order.

  • When label something is added to a card, add the label to all other cards in same collection

With the above automation, you only need to set which label you want to be added to the entire collection.

  • When label something is added to a card in stage something, add/remove label something in collection

With this second automation, you can specify that only when a label is added at a particular stage, the rest of the cards within this collection will also get this label.
The parameters you set are label, stage, label and add or remove. First, you choose which label the automation should be triggered at, and at which stage. Then you choose which label you want added or deleted.

Time reporting starts or stops

With this automation you set that when a timer is started or stopped on a ticket in a certain phase, a checklist is automatically added.

  • When time reporting starts/stops in stage something, add label something to card

The conditions to set are whether the automation should be triggered when the timer starts or stops on a card, in which stage the card is planned and what label should be added.

When removing a label

This automation allows you to ensure that when you remove a label from a card, this label is automatically removed from all cards within the same collection.

  • When label something is removed from a card, remove the label from all other cards in the collection

The only thing you need to set here is which label is involved. This can also be more than one.
