Step 3: create a planboard

A planboard is the place to plan and track your work. You can design the board flexibly based on your process.

First, create a planboard. When you click Settings, you will find the Boards section. Click the green Add board button in the upper right corner. Give the planboard a name (for example, the name of your company or product). Click Save at the bottom to create the planboard. There are five parts to setting up the planboard: settings, stages, statuses, capacity and automations. This Getting Started guide explains the first three parts.

Settings

Workdays

Here you can adjust the workdays of your company. The selected days are available by default for planning in your board. For certain actions, such as splitting cards, only available days are considered.

You can set a specific date as unavailable in the board, such as holidays. Choose here which view you are working in to read how to make a specific day unavailable in the board. Through preferences, you can decide whether to show or hide unavailable days in your board.

Labels

Within vPlan, it is possible to assign labels to your cards. For example, you can give orders with high priority a red label, so it is clear to your entire company that this order has priority.

You can easily create labels by clicking on the green button "Add Label". A window will appear on your screen. Here you can choose the color for your label and give the label a name. Once you have given your label a name and color as described above, click "Close". Your label is now saved and ready for use!

Custom fields

Within vPlan, besides the title and description, you can add extra information to your cards. Do you want to add a batch number, dropdown menu, or phone number to your cards? You can create these here.

You set up extra input fields, which you can later use in your planning to record information. These fields are available in the web version of vPlan as well as the mobile app vPlan Go. To add an extra field, click on the green button "Add field".

Checklists

In your board, you can add standard, reusable checklists. These checklists can be used in your planning cards of vPlan. When you click on the green button "Add checklist", a new window will open where you can set up your checklist.

  • Give your checklist a name.

  • Use the checkbox "Editable" to determine if users can add to or modify the checklist while using it in planning. If you do not check this option, the checklist cannot be changed in planning.

  • Then add checklist items. These will be checkable items in your checklist. Give your item a name and press Enter (or the green arrow) to add the next one.

  • When you are finished, click "Close". Don’t forget to save your board afterwards.

Stages

The Stages tab allows you to set up your company's production process. Simply add a stage by clicking the green Add stage button. Name the stage and set up the stage using the Conditions, Notifications and Activities tabs.

Conditions

In the Conditions tab you set the delay (in days), plan efficiency (%) and you can set whether the stage is independent of other stages.

Notifications

In the notifications tab you set the notifications on the capacity. Here you can choose whether you want to see a notification for the capacity. You easily turn this on by checking or unchecking the checkbox.

Activities

The activities tab displays activities added in step 3. This tab shows which activities are available and which are already being used in another stage. Activities can be linked to one stage, so if it is already being used in another stage, it will be unavailable here.

No matter which tab you are working in, you always have the option to save changes. Click the Save button at the bottom to save changes or a new stage.

Statuses

In the planboard, it is possible to manage statuses in the Statuses tab. When you use vPlan for the first time, by default there are 3 statuses, namely Open, In progress and Done. You can easily modify existing statuses by changing the name and/or color. A planboard should always have at least 2 statuses.

You can also add statuses yourself. You create a status by clicking the green Add status button.

Tip

Use the drag icon in front of the line to change the order of statuses.

When you have clicked the Save button, you can use these statuses in your board.

Capacity

If you want insight into the capacity of your resources, set capacity to Resources, in the configuration of your planboard. Then go to the Capacity tab.

Click Add Resource to add new resources to the planboard. Search by employee name. Select the right employee(s) and click Close to return. The employee is added to the planboard.

You now see an overview where you can link the resources to the different stages. Select the stage the resource is working on, and enter the percentage of his or her availability. It is possible to divide the availability over several stages. If an employee works on one stage by default (100%), but can possibly be deployed on another stage, enter 0% for this stage(s). It is possible to move the capacity of this employee across these stages in the planboard.

Tip

Use the drag icon at the front of the line to change the order of resources (this will affect your plan board).

At the bottom of the screen, click the Save button to make changes.

You now have the basics set up. You can start planning, but let's not forget your colleagues. Invite them simply and quickly, so they also see what needs to be done.
