Detailed planning in a calendar view. Simply drag and drop your cards from day to day, or resource to resource, and have insight into your capacity. You can view the calendar from different views, such as by resource, by stage or by status.

Add calendar view

If you're not using the calendar yet, you can select it at the top of vPlan's menu bar or add a new view by clicking the plus icon.

Give your view a name and save it. You can now proceed to the next step.

Tip

You can add multiple calendar views. This way you can save multiple variants of the calendar, with different filters and sorting. This way you can easily switch between multiple calendars without having to change your filters each time.

Select view

All views of vPlan work with certain elements on which your planning is organized. In the calendar, you can display and sort your schedule by elements: stage, resources or status. The buttons for this can be found at the top right of the page:


Just click through these overviews to see how vPlan organizes your planning at the different levels. Choose an overview that best suits your situation to get started.

Choose time period

To get order in all your planning data, it is important to first choose for which period you want to see the data. At the top left of the calendar you will see a number of standard periods to choose from. The default periods are day, week and month.

You can also choose your own period. You do this with the filter function of vPlan. You can read more about this at: How can I set my own period in my planboard?


Once you have selected a time period, you will only see cards that are planned in that time period.

Filters

After choosing a period it is useful to further manipulate the results within the chosen period. You can do this with the filter function of vPlan. At the top right of the list you can find the filter function in the form of a funnel icon.

You can filter on the following data in your planning:

  • Stages

  • Statuses

  • Groups

  • Resources

  • Labels

You can combine filters. For example, you can filter on all cards from the 'Work preparation' stage. In addition, you can indicate that within that stage you only want to see cards with the status 'In progress'. This already gives you a much more specific part of your planning. Within that set of data you can filter again by filtering on labels. In the end you are looking at a specific filtered part of your planning. For example, the planning of "work preparation" that you are "working on" that has the label "urgent" assigned to it.

This is just one example. The possibilities are very extensive and very dependent on how you use and set up vPlan.

Preferences

When you open the preferences, by clicking on the eye , the menu opens with all the possible options you can show or hide, along with a slider. If the slider is active (purple) then the information is shown on your planboard. If the button is inactive (gray) then the information is hidden.

The options are divided into a number of categories with below them the options you can show or hide:

Show or hide the capacity bars in the calendar.
Resources
Show or hide the resources in the stage view of the calendar.
Unavailable days
Show or hide unavailable working days in the planboard.
Week number
Show or hide the week number in the planboard (top left).

Capacity

Employee
Show or hide employee capacity in the stage view of the calendar.
Machine
Show or hide machine capacity in the stage view of the calendar.
Cell
Show or hide cell capacity in the stage view of the calendar.
Total
Show or hide total capacity per day.

Resources

Planned
Show or hide planned resources.
Available
Show or hide available resources.
Unavailable
Show or hide unavailable resources.
Time of
Show or hide absence.

Cards

Name
Show or hide the title on cards.

Customer
Show or hide the customer on cards (only available for integrations).
Description
Show or hide the description on cards.
Planned
​Show or hide the planned date on cards.
Due date
Show or hide the due date on cards.
Activities
Show or hide the activities on cards.
Resources
Show or hide the assigned resources on cards.
Labels
Show or hide labels on cards.
Errors
​Show or hide errors on cards.
Status
Show or hide the status on cards.

Stage
Show or hide the stage on cards.

Parent card

Show or hide the parent card on cards.
Cover
​Show or hide the chosen cover image or color on cards.
Totals

Show or hide totals on cards (number of hours, number of linked resources, number of attachments, number of comments).​


Number of cards
With this menu, you can indicate how many cards you want to see per resource or stage by default in your board. This prevents unnecessary scrolling in your planning and keeps it organized. If you have more cards planned in a stage or resource, the rest will be hidden under a collapsible menu. You can always expand this menu by clicking Show more.

Capacity

In your calendar, you have clear insight into your capacity at different levels. This chapter explains all the different levels.

Day level

With the dot at the top of the day, you see the total day capacity. Here you see the capacity of all employees that day, regardless of the stages.


Stage level

vPlan has three types of capacity in a stage: employee, machine, and cell. Depending on the type of resources linked to the stage (employees, machines, or cell), the correct capacities are shown. A stage with only employee-type resources has one capacity, namely employee capacity. If a machine-type resource is also linked to this stage, a second bar with machine capacity appears alongside the employee capacity. It is possible to use all three types of capacity in one stage. Keep the cursor on the capacity bar to get more information. A tooltip with data appears. You see the percentage planned compared to available scheduleable hours. Additionally, you also see the capacity of your resources per day. When orders are linked to a resource, you immediately see the remaining available capacity of a resource per day, through a capacity bar around the resource, as shown in the image below.


When you hover over the resource with your cursor, the capacity of the resource per day in that stage automatically opens.​


Here, you can also click on the green and blue bars to see more information about available and planned hours.

Resource level

If you view the calendar from the resource overview, you see the capacity for each resource:

Again, you can hover over the capacity bar with the mouse to see more information.

Moving resources

Move a resource to another stage if this stage needs more capacity. You can only move a resource to another stage if this resource is linked to this stage in the board settings. You can also duplicate a resource to another day. This means that the resource with their availability is copied to another day. Hold down the CONTROL (Ctrl) or COMMAND () key while moving the resource. With this action, you can easily make a resource available on a day that is not standard in their schedule.

Enabling and disabling days

In vPlan, it is possible to enable or disable days. When your company is closed for a day, for example, due to a holiday or anniversary, you can easily disable this day. You see this day shaded gray, and no capacity is shown on this day.

You can easily enable or disable days by hovering over a date in vPlan with your mouse. A switch appears next to the date, as shown in the image below. Clicking on it allows you to enable or disable a day.​

Inverting axes

By default, the days are on the left, vertical axis, and the stages, resources, or statuses are on the horizontal axis. You can invert the axes so that the days are at the top. You do this by clicking on this button in the top left of your board.
