We are excited to announce the launch of a new feature: Spaces! This innovation allows you to organize your boards more efficiently and clearly, ensuring smoother workflows.

What are spaces?

Spaces are designed to group and structure your boards, helping you easily maintain an overview of different teams, projects, or other organizational units. Whether you work with multiple teams or on various projects, spaces help you centralize and structure everything in one place.

Examples

Team organization

If you work with multiple teams within vPlan, you can place each team's boards in a separate space. This prevents boards from getting mixed up and makes it easy to quickly access the information you need for each specific team.

Project management

For large projects with multiple boards, a space offers an ideal solution. Group all boards of a project within one space to create a clear folder structure. This makes it easier to navigate between different parts of your project without having to sift through a maze of separate boards.

Creating spaces

Creating spaces is very simple and quick. Follow these steps to create a new space:

  1. Go to Settings.

  2. Click on the Boards option.

  3. At the top, you will see the existing spaces.

  4. Click on the plus icon to add a new space.

  5. Think of a name for your new space.

  6. Check the boards you want to link to this space.

  7. You will also see an option for 'Shared Capacity'. This will be explained further in the next chapter.

Don’t forget to click the Save button at the bottom to save your new space.

Shared capacity

A useful feature of spaces is the ability to use shared capacity. This means that the capacity of your resources is shared across the different boards within the same space.

If you have a space with multiple boards, the planned capacity of a resource on board A will also be visible on board B. This helps you maintain a clear overview and utilize resources more efficiently.

The capacity bar in your board shows in real-time how much capacity is still available, helping you prevent double bookings and resource overload.

By using this feature, you get a better overview and can plan more effectively, making collaboration within your team much easier.

All you need to do is check the box for Shared capacity within the space settings.
