Adjusting capacity flexibly in your planning

When using resources in vPlan, you can also set a schedule for those resources. This indicates the number of hours per day the resource is available and on which days.

The schedule serves as a baseline for vPlan, but in practice, you cannot always rely on a standard setting. vPlan allows you to flexibly manage the hours and availability of your resources. In this article, we'll explain several tips & tricks for adjusting the capacity of your planning.

Adjusting resource hours on a specific day

Employees working late or a machine undergoing maintenance for a few hours? You can easily adjust the capacity of your resources in vPlan's calendar.

  • Go to vPlan's calendar view

  • Make sure your resources are visible on the board. If you don't see your resources, press the R key to show them

  • Click on the resource icon for which you want to adjust the capacity on the day you want to make the adjustment

  • Adjust the hours in the input field. The input is saved immediately, and you'll see the capacity calculation reflect the change instantly

Moving a resource to another day

Need a colleague to swap their part-time day to help you out? Easily manage this in your planning by moving the capacity.

  • Go to vPlan's calendar view

  • Make sure your resources are visible on the board. If you don't see your resources, press the R key to show them

  • Drag the icon of the relevant resource to the day you want to move it to and place it among the other resources:

Moving a resource to another stage

If you have flexible resources that can be used in multiple stages of your process, you can easily adjust this in your planning.

Note

Whether a resource can be moved to another stage depends on how your board is configured. The resource must be linked to the stage. You can learn how to link a resource to a stage here: Adding a new resource to your board.

If the resource's involvement in the stage is occasional, you can link the resource to the stage for 0%. For example, if you have an employee who mainly works in the production stage but can occasionally assist in the assembly stage:

  • Go to vPlan's calendar view.

  • Click on the puzzle piece in the top right corner to view it from the stage overview:

  • Make sure your resources are visible on the board. If you don't see your resources, press the R key to show them

  • Drag the resource icon to another stage and the day when the resource needs to be used there:

Reporting a resource as 'Absent'

A machine needs maintenance, or a colleague is entitled to leave. You can easily register this in vPlan. A separate help article is available for this, which you can find here.
