Managing capacity is a key component of effective planning in vPlan. It allows you to easily manage the available time of your resources, gain insights into workload, and prevent overburdening. In this article, we’ll explain how to set up and use capacity in vPlan.
Setting up capacity
To access the settings of your planning board, go to Settings in the menu bar on the left-hand side. Click on Boards and select the board for which you want to set up capacity by clicking its name. This will take you to the settings of that specific board.
Once in the settings, you’ll see five different tabs. The first tab is called Configuration. In this tab, you’ll find three different capacity options: no capacity, capacity based on estimated time and capacity based on remaining time.
No capacity
If you don’t work with capacity, select None. This will hide all capacity-related functions on the planboard.
Estimated
When adding an activity to a card, you can input an estimated time. This is an estimation of how long you expect the activity to take. This estimated time forms the basis for planning work and determining workload. Key features of capacity based on estimated time include:
It helps you determine how much work can be planned within the available time of your team or resources.
It remains unchanged, even if actual time tracking differs, allowing you to compare planning versus reality.
By inputting realistic estimated times, you can plan more efficiently and distribute workload evenly.
Remaining Time
Remaining time is a dynamic value indicating how much time is still needed to complete an activity. This value is automatically derived from the estimated time when the activity is created and decreases as time is tracked on the card. Key aspects of capacity based on remaining time include:
It provides a real-time view of progress and how much time is still available to complete the work.
It enables you to quickly identify bottlenecks and redistribute work if necessary.
It helps you adjust the planning and manage expectations.
Note
The time you register on the current day is only deducted from the remaining time overnight.
