Zapier is a popular integration platform that allows vPlan users to build their own integrations between vPlan and various other platforms available within the Zapier platform.

vPlan offers triggers and actions on the Zapier platform. This means we allow vPlan users to connect with more than +2,000 apps.

Every connection you make within Zapier is called a zap. A zap consists of a trigger and an action. A trigger is an event that causes a connection to be started. For example, the event when a card is created in vPlan. The trigger causes a follow-up action to occur: the action. The action completes the zap.

vPlan triggers

Attached or detached label on a card

This trigger causes an automatic action to be executed in a linked app of your choice as soon as you add or remove a label in vPlan to a card.

If a label is added or removed in vPlan, then action in other app

When you set this trigger, you choose whether it will be a trigger based on an added label, a deleted label, or both.

Attached or detached resource on a card

This trigger causes an automatic action to be executed in a linked app of your choice as soon as you add or remove a resource in vPlan to a card.

If a resource is added or deleted in vPlan, then action in other app

When you set this trigger, you choose whether it is a trigger based on an added resource, a resource deleted, or both.

New or changed card

This trigger causes an automatic action to be executed in a linked app of your choice as soon as you create, modify or delete a card in vPlan.

When a card is created, modified or deleted in vPlan, then action in other app

When you set this trigger, you choose whether it is a trigger based on a new card, a changed card, a deleted card, or several of these options.

New or changed collection

This trigger causes an automatic action to be performed in a linked app of your choice as soon as you create, change or delete a collection in vPlan.

If a collection is created, changed or deleted in vPlan, then action in other app

When you set this trigger, choose whether it will be a trigger based on a new collection, a modified collection, a deleted collection, or several of these options.

New or changed comment

This trigger causes an automatic action to be performed in a linked app of your choice as soon as you post, change or delete a comment in vPlan.

If a comment is posted, changed or deleted in vPlan, then action in other app

When you set this trigger, you choose whether it is a trigger based on a new response, a modified response, a deleted response, or several of these options.

New card on backlog

This trigger causes an automatic action to be executed in a linked app of your choice as soon as you create a card in vPlan in the backlog.

If card is added in backlog of vPlan, then action in other app

When setting this trigger, you should also set which planboard the trigger applies to, since you can have your own backlog for each planboard in vPlan.

vPlan actions

Create activity

When this action is executed by a set Zapier trigger from another app, it causes a new activity to be added to vPlan.

When configuring this action, you can set the following choices:

  • Code
    Determine which data from the linked app should be used to fill the code of the newly added activity.

  • Description
    Determine which data from the linked app should be used to fill the description of the newly added activity.

  • Resource type
    Select which type of resource this activity should be performed by, machine, employee or cell.

  • Default duration
    Determine which data from the linked app should be used to fill the default duration of the newly added activity.

Create resource

When this action is executed by a set Zapier trigger from another app, it causes a new resource to be added to vPlan.

When configuring this action, you can set the following choices:

  • Name
    Determine which data from the linked app should be used to fill the name of the newly added resource.

  • Description
    Determine which data from the linked app should be used to fill the description of the newly added resource.

  • Type
    Select which type of resource this should be, machine, employee or cell.

  • Start date
    Determine which data from the linked app should be used to fill the start date of the newly added resource.

  • End date
    Determine which data from the linked app should be used to fill the end date of the newly added resource.

  • Avatar
    Determine which data from the linked app should be used to fill the image of the newly added resource.

  • Color hex
    As an alternative to an image, determine the color of the newly added resource.

  • Schedule per day
    Complete the schedule of the newly added resource by specifying the desired amount of hours per day.

Create a card on backlog

When this action is executed by a set Zapier trigger from another app, it causes a new card in vPlan to be added to the backlog.

When configuring this action, you can set the following choices:

  • Name
    Determine what data from the linked app should be used to fill the title of the newly added card.

  • Description
    Determine which data from the linked app should be used to fill the description of the newly added card.

  • Due date
    Determine which data from the linked app should be used to fill the due date of the newly added card.

  • Board
    Determine for which board this action should be set.


After setting up your planboard, the custom fields from vPlan for that planboard are also retrieved and configurable. You can have these custom fields automatically filled with information from the linked app:

Create a card on planboard

When executed by a set Zapier trigger from another app, this action causes a new card to be planned on a vPlan board.

When configuring this action, you can set the following choices:

  • Name
    Determine what data from the linked app should be used to fill the title of the newly added card.

  • Description
    Determine which data from the linked app should be used to fill the description of the newly added card.

  • Due date
    Determine which data from the linked app should be used to fill the due date of the newly added card.

  • Board
    Determine which plan board this action should be set for.

Tip

After choosing your planboard, all custom fields of that planboard also become configurable. You can have these filled automatically based on information from your linked app.

  • Start
    Determine on the basis of which information from the linked app, the start date of the newly planned card should be filled.

  • End
    Determine which information from the linked app should be used to fill the end date of the newly planned card.

  • Stage
    Determine at which stage of your board the new card should be planned.
