Exact Online outgoing data

Most of vPlan consists of data generated from your ERP. It is also possible to send data from vPlan to your ERP. You set this up easily on the vPlan integration page. vPlan shows you immediately when your data is retrieved, by displaying a green bar. When an error occurs, vPlan shows a red bar.

Planned date

First, it is possible to update the planned date. As shown in the outgoing data, vPlan only sends data related to production and sales orders back to your ERP.

  • For shop orders, the start and end date of orders in vPlan will be fed back to start and end date of a work order in Exact Online.

  • For sales orders, the end date of an order in vPlan will be fed back to the delivery date in the sales order in Exact Online.

Statuses

If you use our standard Exact Online connection, you can send the status from vPlan to Exact Online for production and sales orders. This is done by so-called selection codes in Exact Online. Within vPlan we can send the following statuses back to Exact:

  • Unplanned

  • Planned

  • In progress

  • Completed

  • Archived

Time tracking

When you report time in vPlan, you can send these time trackings back to Exact Online so this is always up to date as well. Time tracking can be sent back to Exact Online for shop orders and projects.

  • For shop orders which are retrieved to vPlan which have operations attached to them, time can be reported. The time tracked on these operations will be sent back to Exact Online.

  • For projects retrieved from Exact Online, time can be reported on standard hour types. These time trackings on the standard hour types can be sent back to Exact Online.


Conditions

In order to use vPlan time registration linked to your Exact Online administration you need to meet the following conditions.

Time registration users in Exact Online

To send back time trackings to Exact Online on a specific employee, the employees must have been created in Exact Online, so they do not have to be time registration users.
If there are no employees in Exact Online, time trackings will always be sent on the user who is linked to vPlan.

  • You use the Exact Online integration with vPlan

  • You plan projects from Exact Online in vPlan of the budget type 'Hours per hour type' or 'WBS'

  • You have linked the hour types from your Exact projects to vPlan (as activities) and are used in your vPlan board

  • You use employees from Exact Online as resources in vPlan, and you have linked these resources to the correct vPlan users

Method

The explanation of the different ways of time tracking in vPlan can be found at: Track time. vPlan has different statuses on time registrations, namely draft, pending, approved, rejected and running.
Time trackings with the statuses draft and pending can be linked to Exact Online. Approving the time registration is done in Exact Online.

When an employee tracks time on a work order or project in vPlan, this is always saved as a draft first. The moment the time registration is saved as a draft, it is immediately sent to Exact.
Depending on your vPlan process, an Administrator, Planner or the employee himself can submit these time registrations. This is of course possible in Exact, but it can also be done in vPlan via the Dashboard time tracking. The time registration that was already known as a draft in Exact Online is then updated to pending.

In Exact Online, the time registrations of project 143, for example, are shown as in the image below:

The final approval or rejection of the time registration always takes place in Exact Online. In the future, the approved or rejected status will be sent back to vPlan. This completes the process between vPlan and Exact, and employees no longer have to work outside vPlan to handle approved or rejected time registrations.

Set up
