Resources are the executors of your planning. Resources can be your employees, machines and/or cells. You link resources to stages in the planboard. This way you know exactly which resource is available in which stage. Because a resource has a schedule, the resource's hours are linked to the stage in the planboard. The total availability of resources on a stage in a day is called capacity. This article explains how to create resources and resource groups and how to archive or delete resources.

You can add a new resource simply and quickly. In the left menu bar of vPlan go to Settings and then click Resources. This takes you to the page where you can add resources manually. Your resources that come over automatically from your ERP system will already show up on this page. Furthermore, on this page you will see two options, resources and groups.

Creating resources

Behind resources you see the plus sign (+) to add new resources. Give the resource a name, possibly a description and select a type. Since vPlan has employees, machines and cells as types of resources, it is therefore possible to link three types of capacity to a stage. Thus, possibly employee, machine and cell can all work in one stage, each with its own capacity. In addition, specify a possible start date. You enter the end date when the resource is no longer available from that date. Here you can also indicate the resource's schedule. Enter for each weekday how many hours the resource is available that day. Click Save to permanently add the resource. You can now plan this resource on the days you have indicated the resource is available. The article Capacity tells you how to link your resource to a planboard.

Tip

vPlan automatically creates an avatar for each resource containing the initials of the resource based on its name. You can change the background color of the avatar, but also, for example, upload a real photo so you can easily recognize your resources on the planning board.

Groups

To add a new group, click on the plus sign behind groups. Now you will be directed to the page where you can fill in the details. Give the group a name and click on Add resource to link resources to a group. It is possible that resources are linked to multiple groups. Select the resources you want to add to this group. When you have selected all resources, click close. To unlink a resource, move the cursor to the resource's avatar. A cross icon appears. Click the cross icon to unlink the resource. To add a group, click the Save button.

In the resource view in the board, it is possible to filter by created groups. We also have a special group view where you can sort the timeline or list view by the groups.

There are two options for organising your planning into groups:

Filter by groups

Whether you work in the calendar, the timeline, list view, kanban or all of them, you can filter your planning by a specific group everywhere. To do this, simply open the vPlan filter that you will see in every view


In the filter you can choose which group you want to view the planning for:

Then click on apply in your filter to filter the planning to the selected group. If you have more than two groups, you can of course also filter on a combination of groups.

When a card is assigned to multiple resources that are divided into different groups, the card will be shown regardless of which of these groups you have enabled in the filter.

Filtering on resource groups can also be combined with other filters. Such as filtering the status of the plan cards. Do you want to know which orders the Machines group still has open? Then you filter on the Machines group and the status open.

Sort timeline and list view by groups

The timeline and list view of vPlan can be viewed at group level. This works the same as displaying your schedule at the phases, resources or collection level.

In the menu bar at the top right of the timeline and list view you will find this option:

When you click on this, your planning will be sorted by the resource groups you have set.

Archiving or deleting resources

When an employee leaves the company or a machine is depreciated, you want to archive it. You will then retain the history of the resource, but you will no longer encounter the machine in your setup and current planning.

To archive activities, go to Settings in the left menu bar of vPlan. Then click Resources. You will now see an overview of all your resources. Select one or more resources you want to archive using the checkboxes at the front of the line and click the Archive button at the top.

The resource will now disappear from the list, but also from your planboard if the activity was linked there. The resource will no longer be selectable on your current planning, but will still be visible in the historically planned cards and in the events within a card.

When you want to restore archived resources, you can make them visible by enabling the Archived filter button at the top of the page. Then click on one of the archived resources (don't check the box, just click on its title) to open it and you can dearchive it, or delete it permanently.

Note

When you have made a resource available again, you do need to add the resource to your planboard setup again.
