Dashboard time tracking

An important component within vPlan is time tracking. To keep track of how much time is being recorded, we have the time tracking dashboard. Read all about the dashboard and how to use it in this article.

Overview

When you go to the dashboard via the menu on the left you will get to the following overview.

Here you will see four blocks showing reported time, planned time, productivity score and billable. These blocks provide quick insight into the number of hours you have tracked and planned. When the productivity score is at 100% it means you actually got the planned work done in the time estimated for it. When it is higher than 100% you actually needed fewer hours than were calculated, and when it is lower than 100% you needed more hours than estimated beforehand. The last block shows how many of the total hours planned are billable.
Below that you see a graph showing the Time tracked per day. This graph plots reported time against planned time, giving you quick insight into when how many hours were planned and when time was actually registered.
Administrators and planners can see the written time of all users. At the top right, you can check whether you want to see the recorded time of all users, or only the time you have reported yourself.
Workers can only see their own written time.

Adjust time period

In the time tracking dashboard, the data resulting from the registered time is displayed. The time registration can be shown for the following periods: today, this week, this month, last week, last month and custom; where you can manually select a period by clicking on the date. At the top left, you can select the desired period, as shown in the image below.

Columns

In the dashboard, you will see several columns for the recorded time. These are the columns card, date, duration, amount, note and status.

Card

The first column in the tracked time is the card. Here you can see which order or project it is about, which activity belongs to it and by which user the time was written.

Date

In the date column it becomes clear on which day the time was tracked and what the start and end time of the tracked time is.

Duration

The time duration shows how many hours were tracked on a particular activity.

Amount

The amount column shows the amount to be invoiced. For an activity, you can indicate whether it is billable or not, and what the corresponding hourly rate is. In the dashboard, based on the hours logged, vPlan calculates what the total amount to be billed is.

Note

When time is tracked, a note can be added. This can be found in the notes column.

Status

When tracking time there are different statuses, these can be found in the last column. How these statuses work is explained later in this article.

Group by

The recorded time can be grouped. This way you can see the recorded time per day, week, activity, collection, board, statuses or user. At the top right, you can choose the desired grouping, as shown in the image below.

Statuses

There are several statuses within time tracking, namely draft, pending, approved, rejected and pending. These statuses are modifiable for administrators or planners, workers can only submit their tracked time.

A worker can submit his or her tracked hours by clicking on the blue arrow. Then an administrator or planner can approve or reject them by selecting the green or red thumbs up. When a registration is rejected you will see the blue arrow reappear, the time can now be resubmitted.

You can also filter by status to view only tracked time with a certain status. At the top right you can select the desired status, as you can see in the image below.

Checkboxes

The checkboxes in front of the line allow you to select multiple time trackings at the same time. This way you can submit all, or a number of selected time trackings at the same time.
