Two-factor authentication

We have enhanced the security of vPlan by adding Two-factor authentication (2FA). With 2FA, you need to verify your identity during login via an SMS or an authenticator app, making it much more difficult for unauthorized users to gain access, even if they have your password.

This additional security measure is crucial in an era where cybersecurity is a top priority for every business. By activating 2FA, you increase the security of your vPlan account and better protect your data from unauthorized access.

Enabling 2FA

To enable 2FA, go to the Settings section in the left menu and then to Security. Here you will see two tabs; select the Authentication tab.

In this section, you can choose whether to apply 2FA or not. If you choose to apply it, you can then specify for which types of users it will apply: administrator, planner, worker, or guest. You can select multiple user types.

When a user wants to log in after 2FA is enabled, they can choose their preferred login method, either via SMS or an authenticator app.

Logging in with 2FA via SMS

  1. Entering username and password: Start as usual by entering your username and password on the vPlan login screen. This is the first step of the verification process.

  2. Entering phone number: When setting up 2FA for the first time on your vPlan account, you must enter your mobile phone number. This number will be used to send you the verification code.

  3. Receiving an SMS: After entering your username and password, you will receive an SMS message on your registered mobile phone. This message contains a one-time code (usually 6 digits).

  4. Entering the code: Enter the code you received via SMS in the designated field on the vPlan login screen. This step adds an extra layer of security to the login process.

  5. Saving the recovery code: During the 2FA setup, vPlan will provide a recovery code. This code is essential if you lose access to your mobile phone. Save this recovery code in a secure place to ensure you can always restore access to your account.

  6. Access: After entering the correct code, you will gain access to your vPlan account. This extra step in the login process ensures that your account is much better protected against unauthorized access.

Logging in with 2FA via an Authenticator App

  1. Entering username and password: Begin by entering your username and password on the vPlan login screen.

  2. Opening the authenticator app: Open the authenticator app on your mobile phone. Popular options include Google Authenticator, Microsoft Authenticator, and Authy.

  3. Scanning the QR code via the authenticator app: When setting up 2FA for the first time on your vPlan account, you need to scan a QR code displayed by vPlan. Open the authenticator app and use the option to add a new account by scanning the QR code. This links the authenticator app to your vPlan account.

  4. Generating a code: The authenticator app continuously generates new one-time codes (usually every 30 seconds). Find the code that is currently valid for your vPlan account.

  5. Entering the code: Enter the code generated by the authenticator app in the designated field.

  6. Saving the recovery code: During the 2FA setup, vPlan will provide a recovery code. This code is crucial if you lose access to your authenticator app (e.g., if you lose your phone). Save this recovery code in a secure place to ensure you can always restore access to your account.

  7. Access: After entering the correct code, you will gain access to your vPlan account.

In the user overview, an icon will appear in the 'Security' column indicating that the user has 2FA enabled.
